Proportional Data Requests: Better Supplier Response Without More Forms
Designing proportional data requests that suppliers can actually fulfil, combined with support, improves response quality without adding more forms, since unreliable data is often a design problem, not a supplier problem. A request that assumes reporting capability a smaller supplier simply doesn't have will predictably produce weak or inconsistent responses; scaling the request to match supplier capacity tends to produce far more reliable data than sending everyone the same demanding form.
Why one standard form for every supplier backfires
A large, sophisticated supplier can complete a detailed sustainability questionnaire easily. A small supplier without dedicated staff often cannot, not from unwillingness, but from genuine lack of capacity, which produces either an incomplete response or one filled in without real diligence.
What "proportional" actually means in a request design
Fewer, simpler questions for smaller suppliers, with hands-on support (a template, a short call, a worked example) rather than a longer form, versus a fuller, more detailed request for larger suppliers with the internal capacity to handle it properly.
Why this improves data quality more than stricter enforcement would
Pushing harder on suppliers who genuinely can't meet a demanding standard doesn't produce better data, it produces better-looking but less accurate data, as suppliers fill gaps with guesses to satisfy the form. Matching the ask to real capability is what actually improves accuracy.
Sustainability Goals Do Not Mean Anything if You Are Not Looking at Your Supply Chain
Move from a spreadsheet of supplier names to a clear, structured view of the key ESG indicators that matter. We can support your organisation to understand your suppliers' emissions, ESG risks and opportunities, and stay up-to-date with relevant news. This gives procurement and sustainability teams the intelligence they need to manage Scope 3 and make better-informed supplier decisions.
